Invoices

From approval to draft invoice, without fiscal haste.

Accepted quotes can be safely turned into a draft invoice. You check customer details, VAT and delivery before you finalise — nothing becomes final automatically.

From quote to invoice in clear steps

One workable flow, with checkpoints at the right moments.

  1. Accepted quote

A quote your customer has approved is the starting point for the invoice.

  2. Draft invoice

The quote lines are carried over into a draft invoice. It is editable and not yet final.

  3. Check VAT, customer details and delivery

You check the VAT mode, the customer details and the delivery. These remain your checkpoints.

  4. Finalise + PDF/email

Only on finalising does the invoice get a final invoice number. After that you can create a PDF and send it by email.

  5. Status and timeline

Track the status of a sent invoice. Where a payment link is available, it helps with collection — payment is never guaranteed.

Built-in checkpoints

OfferteSuite helps with structure and validation. Final fiscal responsibility stays with you.

  • An invoice number is only assigned when the invoice is finalised.
  • Draft invoices have no final invoice number and remain freely editable.
  • The VAT mode and customer details remain checkpoints you confirm yourself before finalising.
  • An accepted quote never becomes a final invoice without your confirmation.

Frequently asked questions

Does an invoice become final automatically once the quote is approved?

No. Approval of the quote enables a draft invoice, but finalising is always a deliberate step you take yourself.

Can I check the invoice first?

Yes. A draft invoice can be fully reviewed and edited — VAT, customer details and delivery — before you finalise.

Does OfferteSuite guarantee that VAT and the rules are correct?

No. OfferteSuite helps with structure and validates where possible, but you remain responsible for the correctness of VAT, data and invoices.

Can I invoice from quotes?

Yes, if the draft invoice flow is available. The accepted quote is then the starting point for the draft invoice.
